The starting point

Parents previously transferred money to each student’s virtual account and entered the amount themselves. School staff communicated billing information separately, and the transferred amount could differ from the intended bill.

The change needed to start with the business process: who defines a bill, how a parent sees what is due, and how the payment amount is determined.

As Project Manager, I shaped that direction with a development team, while keeping finance connected to the broader parent portal.

My contribution

User research

Conducted initial research with users to understand the existing process and the needs behind the requested features.

Requirements analysis

Analysed billing and payment needs, including the information parents and school staff needed to share.

Business-process design

Defined the proposed workflow for finance-issued bills, bill-based payment amounts, and updates to parents.

System direction

Communicated the processes to the development team and took responsibility for the direction of the system.

My role was Project Manager. The team handled the ERD, application code, QA, and technical documentation; this case study represents my contribution in research, analysis, and system direction.

03 / The workflow

From a finance-issued bill to a payment update.

  1. 01

    Finance issues the bill

The foundation’s finance division determines the amount due.

  2. 02

    The parent selects periods

Bill details and the corresponding total are shown for review.

  3. 03

    Payment follows the bill

Gateway payment channels support the bill-derived amount.

  4. 04

    The parent receives updates

Automatic WhatsApp and email notifications accompany the payment workflow.

Start with the process behind the payment

Let the finance division define what is due

Bills and their amounts originate with the foundation’s finance division. The portal gives parents and school staff a shared reference instead of relying on separate messages from class teachers for each amount.

Derive the payable amount from selected bills

Parents choose the relevant billing periods and review the breakdown and total before proceeding. Payment follows the selected bills rather than a freely entered transfer amount, while the gateway offers several payment channels.

Make payment updates part of the workflow

Automatic WhatsApp and email notifications provide updates to parents. Billing status and the portal’s notification view help them follow the state of a payment.

Keep financial and academic context together

Finance sits alongside attendance, achievements, violation points, memorisation, and other student activities. Families can access their child’s school information and payment records through the same portal.

Outcome & scope

The resulting workflow connects finance-issued bills, bill-based payment amounts, gateway payment channels, and automatic notifications. Parents also have a central place to access their child’s academic information.

The work shown here is research, analysis, and project direction within a team. No measured reduction in payment errors, communication volume, or processing time is claimed.
